Job Summary:

The Front Desk Customer Service Professionals are the familiar faces providing a welcome greeting to all residents and guests. In order to provide a resort level of service, the Front Desk Customer Service Professional will be responsible for upholding the highest standards of professionalism. Some of the job responsibilities include; answering telephones, assuring building access and key control as well as security, logging deliveries for residents and coordinating package pick-up and delivery, providing neighborhood information and responding appropriately in emergency situations. This position is part time, every weekend required.

 

Job Duties:

  1. General Office Duties
    1. Opening and closing of the office
    2. Checking after hours messages on the phone and computer
    3. Make mailing labels for all associations when applicable
    4. Checking emails and responding to all inquiries
    5. Assist with concierge services
    6. Assist walk in customers
    7. General filing
    8. Tow illegally parked cars
    9. Enter names of residents in building directories
    10. Monitor properties for security  via cameras
    11. Standards of Dress
      1. Semi business casual, no jeans
      2. Uphold a clean and well-groomed appearance
      3.  

        1. Answering Telephone
          1. Provide general building information
          2. Direct calls to other departments
          3. Promptly responding to any type of emergency i.e water leaks
          4. Packages
            1. Log all income package
              1. Mark package with unit number & date clearly & visibly
              2. Place on shelf in package room under appropriate floor number
              3. Record package in package log; date, name, carrier, phone number, email
              4. Call/Email all residents that received packages
              5. Be able to lift at least 25lbs
              6. Fedex & USPS
                1. Create mailing labels under Fedex account and schedule pickups when applicable
                2. Be able to correctly weigh and post mark packages for post office
                3. Key Control
                  1. Verifying all keys released from Association’s key bank have been authorized by Owner / Resident
                  2. Ensure individuals that receive our keys are filling out the key log
                  3. Take ID of individual that is checking key out
                  4. Have individual sign out once they have returned keys
                  5. Place keys back in key bank promptly once returned
                  6. Work Orders
                    1. Gather all appropriate information pertaining to the work that is being requested.
                    2. Make sure the correct building and unit are assigned
                    3. In certain cases be able to recommend contractors if the work is out of range for maintenance.
                      1. Know where to find applicable information pertaining to cleaning and contracting recommendations
                      2. Scheduling Moves
                        1. Have resident sign Moving Agreement
                        2. Ensure proper insurance is received from moving company
                        3. Contact / schedule Move Monitor
                        4. Schedule moves with residents
                        5. Databases & Associations
                          1. Updating and sorting through an online database
                          2.  General knowledge of HOA’s
                          3. Office Inventory
                            1. Stock coffee and condiments
                            2. Order supplies when necessary
                            3. Keep within monthly budget
                            4.

                              Job Specifications:

                              1. Ability to communicate effectively both written and verbally
                              2. Active listening skills
                              3. Ability to gain & retain trust of internal and external customers.
                              4. Hands on, no job is beneath me approach to management 
                              5. Knowledge of basic Microsoft applications
                              6. Ability to fax, copy, scan
                              7. Ability to lift heavy packages
                              8. Must be proficient in English language
                              9. Ability to communicate effectively both written and verbal

                               

                           

                          Minimum Qualifications:

                          Some experience in customer service / administrative field i.e. hotel, property management, and receptionist.  High School Diploma or equivalent.
